Refund & Cancellation Policy
How deposits, cancellations, rescheduling, and refunds work for our consulting engagements.
1. Overview
This Refund & Cancellation Policy explains how deposits, payments, cancellations, rescheduling, and refunds work for consulting engagements purchased from HRUS Consultants LLC. It applies alongside our Terms of Service and any signed statement of work (“SOW”). Because we deliver professional consulting services rather than physical goods, refunds depend on the type of engagement and the work performed. We confirm pricing in writing before you commit.
We want every client to be satisfied. If something isn’t right, contact us first at contact@hrusconsultants.com — most issues are resolved quickly. “Business days” means Monday through Friday, excluding U.S. federal holidays.
2. Engagement deposits
Many engagements begin with a deposit that reserves our capacity and allows us to begin discovery, planning, or implementation:
- If you cancel before any work begins, the deposit is fully refundable.
- Once work has commenced, the deposit is applied to your first milestone and becomes non-refundable, except for any portion that exceeds the value of work performed and non-cancellable costs incurred.
- Deposits paid online by card are processed through our payment processor (Stripe); deposits on invoiced engagements are paid as stated in your SOW.
3. Milestones and delivered work
Custom and larger engagements are billed by milestone or session block, or on a recurring retainer basis:
- Completed and accepted milestones — and Deliverables already provided to you, such as assessments, reports, roadmaps, recommendations, or implemented work — are non-refundable.
- If you cancel mid-engagement, we will refund any amount paid that exceeds the value of work completed and non-cancellable costs incurred up to that point.
- On delivery, if a Deliverable does not materially match the agreed scope, we will correct it under the warranty in our Terms before any refund is considered.
- Recurring retainers and support plans renew each cycle; you may cancel at any time and your plan stays active through the end of the current paid cycle. Fees already paid for a cycle are non-refundable, and unused capacity does not roll over unless your SOW says so.
4. Cancellation and rescheduling
Scheduled work — such as workshops, on-site visits, and dedicated delivery windows — depends on reserved consultant time:
- Rescheduling is accommodated where reasonably possible with at least ten (10) business days’ notice; one reschedule is typically included. Short-notice changes may incur a fee for committed consultant time and any non-cancellable travel or third-party costs.
- Cancellation ten (10) or more business days before scheduled work: any prepaid amount is refundable less work already performed and non-cancellable costs incurred. Cancellation inside ten (10) business days: prepaid amounts are non-refundable to the extent of committed consultant time and costs.
- If we cancel or must reschedule scheduled work, you may choose a full refund of the affected amount or a transfer to the next available window at no additional charge.
5. How to request a refund, reschedule, or cancel
Email contact@hrusconsultants.com with your name and organization, the engagement name or invoice number, and the reason for your request. We will acknowledge within two business days. Refunds and credits are calculated by reference to the work performed and the timing windows in this policy.
6. Refund processing
We approve or decline refund requests within ten (10) business days of receiving the information needed to evaluate them. Once approved, the refund is issued to the original payment method: card refunds are processed through Stripe and typically appear within 5–10 business days, depending on your bank or card issuer. Refunds of invoiced amounts are issued by the original payment channel.
7. Disputes and chargebacks
If you believe a charge is incorrect, please contact us before initiating a chargeback so we can investigate and make it right. Filing a chargeback for services rendered in accordance with an SOW, or for a deposit cancelled outside the windows above, may be treated as a breach of our Terms. We keep clear records (SOWs, approvals, and delivered work) and will respond to payment-processor disputes with that documentation.
